COACHING FEE POLICY
To ensure our fee structure is both fair and supportive of our athletes’ progression, we have established a tiered coaching travel policy. This policy balances the logistical costs of travel with our commitment to making championship-level competition accessible for all families.
Coaching Travel Fee Policy
Our standard coaching fee for all sanctioned meets is a minimum of $25 per athlete. This allows our coaching staff to provide consistent, high–level support at every competition and covers deck time and local administrative support. For events requiring travel and overnight stays, fees are adjusted as follows:
- Block Party Meets: These introductory events do not incur a coaching fee. Instead, a flat $20 event fee is charged per athlete to cover administrative and facility costs.
- Standard & In-State Championship Meets: The $25 flat fee applies to all local meets and all “In-State” Championship events (e.g., MRCs or Club State meets). Even if these championship meets require an overnight stay, the club treats them as local events to encourage maximum participation.
- Regional Ground Travel: For non-championship meets requiring an overnight stay reached by vehicle, the $25 minimum applies. However, if the prorated costs of coaches’ lodging and per diems exceed that amount, the higher total will be divided among participating athletes.
- National Air Travel: For premier meets that include flights and hotel stays, the $25 minimum is superseded by a prorated share of all travel expenses, including airfare, lodging, and ground transportation, for the coaching staff.

Note: All travel-related fees exceeding the $25 minimum will be calculated and invoiced through the team portal upon conclusion of the meet, to ensure accurate expense reporting based on final attendance.
